Reporting to the Regional Vice President, Atlantic Region, the Executive Assistant provides confidential and discretionary support to the Vice President and Directors, and will have the opportunity to help support the regional plan.  The successful candidate will act in the capacity of a Chief of Staff  role and must have experience in a fast paced, dynamic environment, where a high degree of professionalism, confidentiality, and flexibility are required. The ability to positively engage with key stakeholders such as the Regional Executive team, the Connected Home leadership team, EA peers and our employees at large is a critical requirement of this role.  Additionally, the successful candidate will be able to provide project-level coordination for a few key initiatives aimed at improving regional results and overall customer experience. 


The successful candidate is a proactive performer that demonstrates excellent initiative and judgment on a regular basis. The ability to deal with ambiguity and independently handle changing and competing priorities is a must.  The role requires willingness to occasionally work irregular and extended hours as well as be on call at times.  Experience in dealing with large teams and / or project coordination will be an asset.


What you will be doing:

  • Conduct dutiues as Chief of Staff to the VP's office.  Prioritizes and manages day to day activities, meetings, guests, calendaring, emails, phone calls, commitments, appointments etc., to facilitate the most efficient use of the leaders' time
  • Coordinates and helps manage various projects, meetings and events with focused attention to detail, including regional townhalls, offsites and events
  • Coordination of travel
  • Leads the expense reporting and approval process to ensure timely and accurate reimbursement for the broader team
  • Administers people related transactions in HR self-serve on behalf of the leaders when required, including timesheet administration
  • With full access to RVP email, use high degree of judgement and can easily identify where actions are required and will follow up on basic tasks
  • Supports the execution of the Regional Executive Team meetings, including agenda setting, scheduling, material collection and the documentation and communication of minutes and actions
  • Follow up with action owners and stakeholders to ensure that all actions are completed on time and as requested
  • Provides assistance on ad-hoc business requests as needed
  • Provides assistance to the broader RET team as necessary
  • Leads by example to work effectively and collaboratively with other Executive Assistants and Coordinators

What you bring:

  • Completion of post-secondary education is highly preferred
  • Previous experience supporting executives and senior leaders
  • Excellent interpersonal and communication skills, both verbal and written
  • Proficiency in dealing with ambiguity and working independently
  • Technologically savvy and proficient with the use of smartphones, tablets, laptops and other tools
  • Proven ability to work effectively under pressure in a fast-paced environment
  • Ability to manage and coordinate programs across a number of stakeholders
  • Willing to work flexible hours and be on call to meet challenging and changing deadlines
  • Strong organizational skills with a proven ability to prioritize
  • Demonstrated business professionalism, respect for confidentiality and appropriate handling of sensitive information
  • Advanced skills in managing calendars in Outlook as well as experience in office workflow and productivity tools such as Microsoft Office tools (Excel, PPT), Oracle, Sharepoint
  • Ability to effectively collaborate with colleagues across the organization
  • Experience in Telco industry would be an asset
