Job Description:              Coordinator, Philanthropy (Full Time)

                                           A member of Jays Care’s Philanthropy Team


Effectively:                       September 2022


Reports to:                       Manager, Philanthropy

Indirectly reports to:     Director, Philanthropy


Salary:                               $45,000 to $50,000       


Position Summary:


As a member of the Philanthropy team and reporting to Manager, Philanthropy, the Coordinator, Philanthropy is responsible for supporting the retention and growth of Jays Care’s annual donors from prospect research, introductory conversations and appeals to acknowledgement, stewardship activity, reporting and systems coordination.  Total revenue responsibility is approximately $500,000 annually.




Donor Engagement: (65%)

  • Responsible for engaging donors who support the foundation through our donation page, Canada Helps, Jays Care customer service line, video board greetings, third party applications such as EchoAge, DonateACar and other channels as the primary point of contact with Jays Care Foundation
  • In collaboration with Finance and the Philanthropy team, responsible for supporting the development and implementation of donor engagement plans for donors who make one time gifts to the Foundation each month
  • Steward and manage the pipeline of annual donors regularly including communicating with all first time donors to Jays Care, by telephone and email, to develop deeper relationships
  • In collaboration with Specialist, Community Development Communications and Manager, Philanthropy, develop and implement regular stewardship communications for all annual donors
  • In collaboration with Volunteer Engagement leads, steward volunteers with impact communication and solicit, as appropriate
  • Identify opportunities to attract new annual donors to Jays Care including but not limited to event guests, volunteers, Season Ticket Members, Suite hosts and guests, etc.
  • In collaboration with the Manager, Philanthropy, supports the Foundation’s annual campaigns such as  Giving Tuesday and donor recognition activities such as National Philanthropy Day and Thankathons
  • Support the Manager and Coordinator of Events to convert event guests into individual donors to Jays Care Foundation
  • Ensure that all donors are acknowledged in a timely manner with best in class customer service
  • Respond to prospective and current donor inquiries in a timely and professional manner by telephone, email and in meetings
  • Coordinate the writing and mailing of donor letters of sympathy, congratulations, etc. and track in Salesforce


Research: (15%)

  • Support the ongoing development of a prospect pipeline by researching, identifying and qualifying prospective donors
  • Actively monitor and share philanthropic industry news, trends and best practices



Systems Coordination: (10%)

  • In collaboration with Manager, Philanthropy, develop and grow Jays Care’s Annual Giving program from systems implementation to reporting using Salesforce, Artez, Canada Helps, Microsoft tools and others
  • Regularly summarize and research who has made one time gifts,  lead regular Philanthropy meetings and include details and research in Salesforce
  • Maintain Salesforce database to ensure accurate and current donor information, cultivation, solicitation, acknowledgement, stewardship and recognition activity and future engagement plans


Administration: (10%)

  • Coordinate prospective and current donor meetings, including preparing meeting agendas & materials, background research and drafting Call Notices and Call Reports
  • Participate in hosting duties (game nights) and activelywork with members of the Philanthropy Team at events (Gala, Golf, Garage Sale, Broadcast Auction and others), as required. Occasional work on weekends may be required throughout the year.  
  • Respond to public inquiries about fundraising initiatives in an efficient and professional manner
  • Assist with data entry and other administrative duties, as required



  • Up to 5 years of fundraising/ donor engagement/ customer service or similar experience would be ideal
  • Exceptional commitment to delivering excellent customer service and customer satisfaction
  • Excellent written and verbal communication skills in English
  • Exceptional attention to detail
  • Excellent organizational skills and strong ability to manage priorities
  • Ability to lead and manage projects efficiently while meeting tight deadlines
  • Demonstrated ability to be flexible, and comfort to work a fast-paced environment
  • High degree of comfort working with a cross section of people – from executive corporate leaders to custodians
  • Entrepreneurial, creative, and energetic
  • Proficient in fundraising platforms such as Artez, Classy
  • Proficient in Microsoft Office
  • Experience with Salesforce, Raiser’s Edge or similar database management system
  • Strong problem-solving skills
  • Ability and willingness to work evenings, weekends and holidays
