Events & Logistics Coordinator - Summer Intern

Job Summary:

This role will assist the Jays Care Field of Dreams program that grants over $1M each year to safe youth spaces, such as baseball diamonds. 

Field Of Dreams is Jays Care’s granting program for infrastructure dedicated to youth life skill development and physical activity. Additionally, Field of Dreams grants program provides funding to design, refurbish, and build safe spaces for children and youth to play baseball, develop life skills and learn from positive role models. Jays Care has invested over $15 million in safe spaces for children and youth across Canada. 


We are seeking a detail-oriented and highly organized Events & Logistics Summer Student Coordinator for the Field of Dreams program to support our team in planning events remotely for baseball diamond grant recipient communities. This role is responsible for overseeing logistics, managing signage and printing, coordinating event day material, engaging with sponsors, assisting with speaking notes, and maintaining project data in Salesforce to ensure seamless event execution.

 

Key Responsibilities:

  • Coordinate all logistical aspects of baseball diamond grant community events
  • Liaise with program partners to determine requirements for opening & possible opportunities.
  • Liaise with vendors, suppliers, and stakeholders to ensure timely delivery of goods and services.
  • Manage event timelines and ensure all logistical elements align with the event schedule (Run of Show).
  • Assist with writing and preparing speaking notes for event speakers.
  • Engage with sponsors and ensure their presence and contributions are well-integrated into event activities.
  • Maintain and track event supplies.
  • Ensuring proper documentation waiver are provided for participants.
  • Maintain accurate project data in Salesforce, updating records as needed for reporting and tracking purposes.
  • Provide excellent customer service to event participants, guests, and VIPs for local openings or funding announcements
  • Document and report on event outcomes, including post-event evaluations and recommendations for improvement.

Requirements:

  • Currently enrolled in a post-secondary program in Business, Event Planning, Hospitality, Communications, or a related field.
  • 2+ years of experience in event logistics, event planning, or a related field.
  • Strong organizational and multitasking skills with attention to detail.
  • Ability to work in a fast-paced environment and problem-solve under pressure.
  • Excellent communication and writing skills, with experience preparing speaking notes or event scripts.
  • Proficiency in Microsoft Office and Salesforce (or other CRM tools)
  • Physical ability to lift and transport event materials if necessary.

Preferred Qualifications:

  • Experience in coordinating community, sports-related, or grant-funded events.
  • Fluent in both French & English
