Join a fun and ever changing Corporate Communications team that is looking for a top notch department executive assistant who loves working with, and supporting others, to get the job done. You are a highly organized, self-starter who uses excellent judgment and you like to juggle multiple tasks.


You will primarily support the SVP of Corporate Communications, and interact with a number of stakeholders including the Communications and CSR leadership team, members from HR, finance and other key stakeholders in the business.


This role will be based out of Toronto and will report to Terrie Tweddle, SVP, Communications and CSR. 


Key Responsibilities:

  • Prioritizes and manages day to day activities, meetings, guests, calendaring, emails, phone calls, commitments, appointments, to facilitate the most efficient use of the Senior Vice President time
  • Maintains all of the Senior Vice President’s records and files in an organized and efficient way
  • Coordinates team meetings and events with focused attention to detail
  • Coordinates all travel arrangements for Senior Vice President and Director team
  • Leads the expense reporting and processing to ensure timely and accurate reimbursement
  • Administers Time Keeper in a timely manner for the team
  • Administers people related transactions in HR Connect on behalf of the Senior Vice President when required
  • Provides assistance on ad-hoc business requests as needed to the team
  • The key liaison with Facilities and Real Estate team on behalf of the Senior Vice President
  • Leads by example to work effectively and collaboratively with other Executive Assistants in the organization
  • Manages key departmental administrative needs including budget tracking, invoicing and Purchase Orders; onboarding of new team members; preparing  reports; managing departmental subscriptions; ordering supplies on behalf of the team



Do you have what it takes to be successful in this role? Here’s what we’re looking for:  


  • Minimum of 3 -5 year of previous experience supporting leaders at the Vice President level
  • Excellent interpersonal and communication skills, both verbal and written
  • Proficiency in dealing with ambiguity and working independently and proactively
  • Technologically savvy and proficient with the use of smartphones, tablets, laptops and other tools
  • Proven ability to work effectively under pressure in a fast-paced environment
  • Strong organizational skills with a proven ability to prioritize
  • Demonstrated business professionalism, respect for confidentiality and appropriate handling of sensitive information
  • Advanced skills in managing calendars in MS. Outlook as well as experience in office workflow and productivity tools such as MS Office (PowerPoint, Excel), Oracle
  • You’re buttoned down and never miss a detail
